LuXout Products is seeking a reliable, detail oriented, and experienced Sales Administrator who will support our contract sales and field service personnel. Sales administrator duties include, but are not limited to, the administration, coordination, and organization of documents and information required for effective sales, service, and project management. Approximately 20% of a successful candidate’s time will be spent on phone with our customers doing outside and inside sales. The balance of time will be spent completing the paperwork necessary to process customer orders. Excellent communication skills and pleasant demeanor are a must. As you are in contact with employees, customers, and vendors, and in a key position for guaranteeing their satisfaction, your position requires confidentiality, tact, sensitivity, and professionalism.

icon-info Duties/Responsibilities
  • Prepares needed material and equipment submittals from available supplier data and ensures they are transmitted to customers on schedule.
  • Obtains and submits certificates of insurance, W-9’s and other contract required documents.
  • Assists Sales Person distributing job specific plans and information to field personnel.
  • Prepare and submits RFI’s – requests for information – at the direction of the sales personnel.
  • Creates and maintains electronic and paper project files.
  • Prepares quotes at the request of customers.
  • Prepares all AIA billing forms and paperwork required for monthly payment applications. Enters all billing into our accounting system.
  • Prepare and submit to contractors all close out documentation including warranty and operation manuals.
  • Maintains install calendar in conjunction with sales person to ensure timely fulfillment of contracts and creates call sheet field personnel.
  • Purchase job specific materials and supplies.
  • Perform other tasks as assigned by Customer Service Manager or Sales Personnel.
  • Creates job in our accounting system and enters all purchase orders, sales orders, and other required entries for the job.
  • Makes outbound sales calls as needed
  • Handle incoming sales call from our dealers and work with dealers to process their order in a manner that optimizes the sale and satisfies the dealer

  • Customer service in construction environment (Preferred)
  • High School or Equivalent (Required)
  • Can speak english language (Required)
